Clear Choice Closings
Official Booking, Cancellation, and Identification Policy
Thank you for choosing Clear Choice Closings. We operate an elite, on-demand dispatch logistics network. When you reserve a time slot, we immediately lock in an independent certified signing expert's schedule, allocate travel fuel, and prepare your legal document packaging.
To maintain the highest standards of operational accuracy and professional reliability, all client bookings are bound by the strict corporate guidelines detailed below:
🪪 1. Strict Statutory Identification Mandates
By state and federal notary administrative codes (including the Texas Secretary of State and Michigan Department of State frameworks), a notary public cannot legally execute a signature seal without formal identity clearance.
Physical Photo ID Requirement: All signers, co-borrowers, and vital witnesses must present a physical, unexpired government-issued photo identification card at the immediate start of the appointment.
Acceptable Forms of ID: Valid state-issued Driver's Licenses, official State Identification Cards, or United States Passports bearing the signer’s exact legal name.
Prohibited ID Formats: By law, digital phone wallets, smartphone screenshots, photocopies, or expired identification documents cannot be accepted under any circumstance.
Document Integrity: Documents must remain completely blank and unsigned until the notary explicitly instructs execution on camera or at the physical table. Pre-signed documents are legally void for notarization.
🚗 2. Non-Refundable Mobile Travel Fee Policy
Mobile travel fees cover immediate agent mobilization, scheduling routing configurations, and vehicle fuel overhead.
Late Cancellation & Rescheduling: Appointments may be rescheduled or canceled at zero penalty up to one (1) hours prior to your scheduled time block.
The Travel Fee Lock: If you cancel or request a rescheduling adjustment less than two hours before your appointment window, or if our dispatched mobile agent arrives at the location and the signing cannot proceed due to client error (e.g., missing ID, unsigned documents, or a no-show), the mobile travel fee portion of your invoice is strictly non-refundable.
Table Refusal Surcharge: If an assignment is aborted at the table because a client changes their mind or refuses to sign lender disclosures, the flat mobile travel fee remains fully due and payable to cover the contractor’s field dispatch hours.
🌐 3. Remote Online Notarization (RON) Tech Requirements
To clear automated state desk audits for online audio-video signatures, clients booking a RON slot must satisfy these exact technical conditions prior to joining the room:
Hardware Baseline: You must connect using a desktop computer, laptop, or modern smartphone equipped with an active, high-definition front-facing webcam, microphone, and a stable, high-speed internet connection.
Identity Shield Quiz (KBA): You must successfully pass a brief, automated Knowledge-Based Authentication (KBA) verification quiz using your Social Security Number (SSN) and credit history baseline questions within the secure online dashboard before the video session launches.
Note: If a RON session fails or locks out because a signer cannot clear the state security questions, the base technology transaction fee remains non-refundable to cover digital environment setup costs.
💵 4. Commercial B2B Title & Escrow Terms
All professional Title, Escrow, and Mortgage Lender assignments dispatched directly to our corporate queue operate under fixed corporate invoicing structures.
Standard payment terms are Net 30 or processed instantly upon successful file funding. No retail booking cancellation policies apply to commercial contracts unless an agent has physically arrived at a remote signing address prior to order cancellation.
