Privacy Policy & Data Security Disclosure
Effective Date: January 1, 2026
At Clear Choice Closings, we hold our clients' privacy and data security to the absolute highest professional standards. In our capacity as Notaries Public and Certified Loan Signing Agents, we routinely handle highly sensitive personal, financial, and legal information. This disclosure outlines our uncompromising commitment to protecting your data.
1. Information Collection and Purpose
We collect only the essential information required to schedule, execute, and record legally binding notarial acts. This includes names, contact details, property addresses, and government-issued identification data. This information is used strictly to verify identity as mandated by state law and to facilitate your closing appointment.
2. Data Retention and Notarial Journals
As mandated by state notary statutes, certain transactional details must be recorded in an official Notarial Journal (either physical or secure digital format). These journals are strictly maintained under lock and key or encrypted biometric security. We never retain copies of your private loan packages, estate documents, or medical records after the closing is successfully concluded.
3. Third-Party Sharing Prohibition
Clear Choice Closings does not sell, lease, or distribute your personal information to third-party marketers or outside entities. Your data is only shared with authorized entities explicitly involved in your transaction, such as your designated title company, escrow officer, or mortgage lender.
4. Digital and Remote Online Notarization (RON) Security
For all virtual closings, we utilize state-of-the-art, MISMO-compliant RON platforms. These systems employ multi-layered encryption, advanced credential analysis, and secure video archiving to guarantee that your remote signing session is entirely tamper-evident and protected from digital vulnerabilities.
